Sending emails on Hiring/Firing/Retirement

Use dynamic actions (IT0000) to send emails for hiring and terminating actions 
from PA40. This is sample code:

where ZM01T is a feature maintained via PE03 (copy of M001) in which you 
specify the standard text message and distribution list. 


The trickier part is that the email goes to 
SAPmail, so you have to know how to configure the SAPmail/workplace to your 
own email server. 


Configure Employment Status In PA40 and PA30 Screen

For a specific action type, I only want one employment status 2 show, i.e. inactive. rest employment status i.e. active, withdrawn etc should not been displayed while using that particular action type. 

SPRO –> Personnel Management –> Personnel Administration –> Customizing Procedures –> Actions

Step I: Define the info group
a. Define the info group
Eg: Y1: Special Action for Inactive emp
b. Assign info types to that particular info group

Step II: Set up Personnel Actions
a. Under personnel action type, give the action type and expansion eg: Z1 Special Action
b. FC(Function character) give 0
c. Customer Specific status: Leave Blank
d. Employment Status: Give 1
e. Special Payment: Give 1
f. Select PA, PSA, EG, ESG
g. Insert the info group number which you have created which you have defined under Step 1. and save

Step III: Create reasons for personnel actions

Step IV: Change action menu
Assign the action type to the action menu with the necessary user group
Execute the action using PA40 and you can see the changes made.

How to add the employment status to the main screen of PA30 ?

First get the screen header from view V_582A_B (t.code ->sm30), by default 00 for initial screen, 10 for Action Info type, 03 for Org Assignment Info type, 02 for all the other info type.
Then get the header modifier from view V_T588I (TClass -> A for Employee , B for Applicant).
Once you get the header modifier, you can add (or replace with other field) employee group (IT0001- PERSG) field in header structure through the table T588J (sm30 -> maintain). You need to give the row/column no, to where it should appear.

Delete or Change a Personnel Number

There are a lot of questions which we are asked in interviews about PERNR. We are also confused at times about these concepts. So, let us use to post to talk about some of them. Please correct or add to this post by commenting on this.

Some end-users assign wrong personnel numbers by mistake. In case this is noticed before payroll is run for this personnel number, then this can be easily deleted and created again. But if payroll has already been generated for this personnel number, it is a long process. Another thing to keep in mind is that PERNR cannot be changed. Though the start date and end date can be changed using PA41.
To delete after payroll has been generated
  1. Delete all payroll results using PU01. (If posting has been done, then this will not be allowed – you need to reverse the posting)
  2. Delete all infotypes of PERNR using PU00 (or use PA30 if you more comfortable there).
  3. In the menu select Utilities and delete the personnel number
  4. Alternatively use the standard report (RPL*DEL*0*) to delete the PERNR

SAP PA – Master data changes report – RPUAUD00

Report RPUAUD00 (Logged Changes in infotype Data) is used to track the master data changes.

Configuration required:

There are two different ways that can be followed for configuring the report.  This can be done either though IMG or directly configured through tables.

IMG Path:

Personnel Management -> Personnel Administration -> Tools -> Revision -> Set up change document

Tables:

V_T585A – HR Documents: Infotypes to be logged.

The infotypes that needs to logged for changes has to be maintained in this table.

V_T585B – HR Documents: Field Group Definition.

This table is needed for defining the field groups (for logging the changes together including all the fields). In addition, individual field can also be logged.

V_T585C – HR Documents: Field Group Characteristics

This table allows in setting up the document type as whether the document created for infotype log creation is short – term documents or long –term documents.

Employee Grievance – Infotype 102

The Grievance Process is triggered when an employee files a formal complaint against another employee or when a Supervisor, Manager, or the Human Resources department needs to document discipline for an employee. This process will also be utilized to document any necessary Grievance Resolution.

The Grievance Process has two steps: A grievance is filed against an employee and documented, and the discipline resulting from the filed Grievance is documented.

Use Transaction Code PA30, Go to infotype 102 (Grievances) and press Create button.

Select the subtype of grievance – (1 Greivance, 2 Discipline, 3 Harassment)

Select reason for grievance, supervisor name, grievance status etc.

Time-Dependency of the Authorization Check

Use
When an employee undergoes an organizational change, you may want to assign him or her
infotype authorizations based on the duration of the organizational assignment. To do so, you
can run authorization checks based on a data record’s history.
Example: At the start of the year, an employee changes from personnel area 0101 to
personnel area 0102. The administrator responsible for processing the employee’s
personal data in the second personnel area is different from the administrator in the
first personnel area. You might want to prevent the administrator who was
responsible for the employee in the previous year from accessing data that is
entered in certain infotypes in the current year. In this case, you can set up the
access authorization for infotype data so that it is dependent on the history of data
records in the employee’s organizational assignment.

Prerequisites
If you want to carry out a time-dependent authorization check, set the corresponding indicator in the Indicator for access authorization field (T582A-VALDT) in the Infotype: Customer Specific Settings table (T582A).

Features
The procedure is as follows:

There are three possible cases:
a) The administrator’s period of responsibility for the employee starts in the future.
If the administrator has write authorization for the relevant infotype/subtype, it is
extended to all infotype records that are valid within the period of responsibility. Read
authorization exists for infotype records that have the same validity period as the period
of responsibility, or that precede the period of responsibility.
b) The period of responsibility starts before the current date. However, the end of the period
of responsibility does not exceed the maximum specified tolerance before the current
date.
In this case, a write or read authorization is extended over all periods. In other words,
there are no restrictions for this administrator in terms of the validity period of the
relevant infotype records.
The tolerance time concept ensures that an administrator can still access the data of an
employee who is no longer within his/her responsibility, for a limited period of time. This
means that the administrator still has the opportunity to close any open issues once the
person has moved.
c) The period of responsibility ends in the past. Even the end that was adjusted to the
tolerance time is before the current date.
In this case, the administrator has no write authorization. Read authorization exists for
infotype records that have the same validity period as the period of responsibility.

IT 0105 – Communications

When a new subtype is created under Infotype 0105 Communications, how can we configure the new subtype to be a Short ID field (USRID) or Long ID field (USRID_LONG)?

The subtype of a Communications Infotype (IT 0105) can be configured either to be a short ID (30 char) or a long ID (241 char).

Use TCode SM31. Go to view V_T591C “Recipient Type for Communication Type”. This is a place where you can mention, what type of communication is your subtype (Ex: Text, Telephone, Email Address etc.) and also indicate if the new Subtype is a Long ID using the check box.

In addition, you can also define the Time Constraint of the new subtype.

Also try HRUSER – and link an user ID to an employee. linking this creates infotype 0105 for the employee HR master record

Linking Employee Photos using SAP Archive Link

Linking employee photos (Assign Facsimiles in transaction PA30) using SAP Archive link functionality (not through ESS).

1) CUstomizing steps 

IMG – Personnel management – personnel administration – customizing user interfaces – change screen header.

Regarding the archiving part – Basis admin to set that up for document type HRICOLFOTO.

2) Photo in the PA IT0002 In version 4.0B

1. Define physical archives using transaction OAC0 Arx. ZZ

2. Assign objects types & document types to archive & documents tables for Obj PREL , doc.type HRIEMPFOTO, Arx. ZZ using transaction OAC3

3. Define number range using transaction OANR

4. Using transaction OAC2 define doc.typ & tech doc types for exmpl. HRIEMPFOTO – TIF

5. Create protocol for Archive link using transactions OAA3 for exmpl. Comm.prot.,version. Generate it will define application type from list and so on.

6. In the table 585O define relevant infotype for object and document type for exmpl. for it0002

7. Using transaction OAAD create link for PERNR with relevant infotype & files on the server, which described on the first step.

In addition to any infotype fields you can also include passport photos of your employees in the infotype header in Infotype Header Definition view (T588J).

In the System Table view (T77S0), determine the document type with which you want to enter the passport photos in the optical archive.

Still does not work? try as suggested below:

When I execute the OAAD transaction the result is ok, but when I look at PA30 I can´t see the photo.

In PA30 if I look by “Extras-> display all facsimiles” the photo appears correctly, so the photo is assigned to the employee number.

Then my problem is in the initial screen in PA20, PA30,…

From an OSS message from SAP:

For using an employee picture in the PA20/PA30 please check that you have a correct customization for the infotype header.

For further information please have a look at the corresponding point in the customizing for ‘Personnel Administration’ – ‘Define Dynpro header’.

You have to check the table T588J and T77S0 (define document type for pictures). Additionally, remember that the photo should be in JPG format.”
